Applying a consistent tone of voice

Content projects typically require a consistent tone of voice across all AI-generated text. Without a central configuration, the tone of voice prompt must be added to each operation individually. If the tone of voice changes, every affected operation must be updated separately.

This tutorial describes how to configure a tone of voice prompt as a single-entry option and assign it to multiple operations. The option is applied automatically and is not displayed to the editor. Changes to the tone of voice are made in one place and take effect across all assigned operations.

This tutorial is intended for project admins configuring prompt operations in the Content Assistant.

This tutorial describes a project-maintained custom configuration.

Example Solution

Create the "Tone of Voice" option

  • Open the AI Configuration in the ContentCreator.
  • Navigate to the prompt level at which the option should be created (project, shared, or global).
  • Click New Option.
→ The Edit Option window opens.
  • Enter a display name in the Name field, for example Tone of Voice.
  • Click New Entry.
→ The Edit Entry window opens.
  • Enter a display name in the Name field, for example Brand Voice.
  • Enter the tone of voice prompt in the Prompt field.
  • Click Apply.
    → The entry is saved.
  • Click Apply.
    → The option is saved.

The option must be created at the same prompt level as the operations it will be assigned to. An option defined at project prompt level cannot be assigned to a global prompt (see Prompt administration).

Assign the option to operations

  • Open the operation to which the tone of voice option should be assigned.
  • Under Options, select the checkbox next to the Tone of Voice option.
  • Click Apply.
→ The option is assigned to the operation.
  • Repeat for each operation that requires the tone of voice.

Editor experience

Open the Content Assistant in the ContentCreator and execute one of the configured operations.

The Tone of Voice option is not displayed to the editor. The tone of voice prompt is applied automatically and is included in the result. If the operation has no other options with more than one entry, the selection step is omitted entirely and the operation executes directly.

Alternative: Allowing editors to opt out

If editors should be able to select a neutral alternative, i.e. execute an operation without applying the tone of voice, add a second entry without a prompt to the option, for example with the name [None], and place it at the beginning of the entry list. This entry is then preselected. The editor can select the Brand Voice entry manually.

Adding a second entry makes the option visible to editors. See Prompt administration for guidance on configuring entries and prompt levels.

Where this approach is strongest

This approach is most suitable in the following situations:

  • The project requires a consistent tone of voice across many operations.
  • Editors should not be able to deviate from the configured tone of voice.
  • The tone of voice is subject to change and must be maintainable in one place.
